How easy is it to switch clinic software?

Switching clinic software is easier than most owners expect, and easiest when you move into one system instead of a stack of tools. Your client list, visit history, gift vouchers and package balances come across from your old system's exports, and active memberships from Fresha's membership report. Saved cards can't move, so patients re-save them. Switch day is also the moment to set up consent, records and prescription medicine rules properly.

I hear the same worry from almost every clinic owner I talk to. "We've got years of clients in there. If we move, we'll lose everything." That fear keeps a lot of clinics on software they have outgrown. So here is the honest version: what comes with you, what stays behind, and how to make the day itself boring, in the best way. I'll also make the case for using the switch to fix two bigger things at once: getting everything into one system, and setting it up around the AHPRA and TGA rules that cosmetic clinics work under.

What actually moves when you switch clinic software?

Most of your data moves. It travels as export files, usually a spreadsheet (CSV or Excel), that your new system reads in. A good import shows you a preview first, then tells you which rows it skipped and why.

The table below is the checklist I'd use whatever system you're moving to.

What moves and what doesn't when a clinic switches software
What Does it move? What to check
Client list (names, phone, email) Yes, from an export file Duplicates, missing mobiles, and families sharing one phone number
Visit history Yes, from an export file Spot-check a few long-time clients against the old system
Gift vouchers Yes, with their balances Every unspent voucher, its code and its expiry date
Package balances Yes, sessions left per client Sessions remaining match what you have promised each client
Memberships From Fresha's membership report. Timely has no memberships export, so members are set up from your own records Each member's plan, next billing date, and a card on file in the new system
Saved cards No Send every patient with a saved card a link to re-save it
Signed consent forms Plan it Keep access to past signed forms; new consents are signed in the new system
Future appointments Plan it Every booking from switch day on is in the new diary before you open
Booking links No, you change them Website, Instagram, Google Business Profile and email signatures

A general checklist, not a promise about any one system. What a given export contains depends on the vendor, so check their help centre before you plan.

Two things on that list catch clinics out. The first is memberships. A membership is two things: a promise to the patient, and a card that gets charged. The promise moves with the data, as long as you have the member list and their terms. The card does not, which is the next section. The second is future bookings. Decide early how they will get into the new diary, and check every one before switch day. The detailed steps for memberships are in how to move memberships to a new booking system.

Why is a switch easier when everything moves into one system?

Count your tools before you count your clients. If bookings live in one place, rewards in another, consent forms in a third and memberships in a spreadsheet, each one is its own export, its own import and its own set of mistakes to check. Every extra tool is another place a patient's details can be out of date on switch day.

Moving into one system turns that into one move:

  • One import to check. Client list, visits, vouchers, packages and memberships land in one place, so you check one preview and one skipped-rows report.
  • One record per patient. Their bookings, payments, membership, package sessions, vouchers, points, consent forms and treatment notes sit together, so nothing has to be matched up between tools.
  • Nothing copied between tools afterwards. No add-ons to connect, no nightly sync to break, one login and one bill.
  • One system to train on. The front desk learns one layout, which makes the first busy morning far calmer.

If you are weighing up whether to keep a separate loyalty or forms tool after the switch, all-in-one clinic software walks through what one system covers end to end.

Why can't saved cards move to new clinic software?

Saved cards stay behind because the booking system's payment side holds them, and the big platforms don't hand them over. That is their rule, set for card security, not something your new software chooses.

Fresha says it plainly. Its help centre article on exporting your client list says client card details can't be exported or transferred, because they are stored encrypted to meet PCI rules. Timely's help centre lists the data it can export: clients (including reward points), appointments, services, client notes, products and product purchases. Saved cards are not on that list.

So plan for it. Every patient who had a card on file will need to save it again in the new system. The order matters:

  1. Members first. Start with the members whose next billing date is soonest. No card means no payment.
  2. Then anyone with a future booking that needs a deposit.
  3. Then everyone else, as they come in.

Keep the message short and friendly. "We've moved to a new system, tap here to save your card again" works. Patients are used to this from every app they use.

How long does a clinic software switch take?

It depends far more on your clinic than on the software. The import itself is quick. The time goes into three things: getting the exports, deciding how you want things set up, and training the team.

Getting the exports can be fast or slow depending on the vendor. Fresha lets you download your client list yourself as an Excel or CSV file from the Clients list, through the Options button. Timely asks you to request an export through its support help form, and says requests can take up to 48 hours. The step-by-step guides are in how to export clients from Fresha and how to export clients from Timely.

The decisions take longer than people think. Which treatments go online? Who can give a discount? What happens when a member's card fails? Which treatments involve a prescription medicine, and so must stay out of offers and rewards? Answer those before switch day and the switch is calm. Leave them and the front desk ends up answering them live, with a patient waiting.

For Clinic App, our promise is the 30-Day Launch Guarantee: if we are not ready to launch within 30 days of having what we need from your team, the next month is on us.

Why is switch day the time to set up AHPRA and TGA rules?

A cosmetic clinic doesn't just book appointments. It advertises regulated health services, and that comes with rules that are easy to miss when a system wasn't set up with them in mind.

Most clinics' current set-up grew one setting at a time. A switch is a clean start, so it is the right moment to build the rules in rather than rely on everyone remembering them. In Clinic App, these are in place from day one:

  • Prescription treatments stay out of promotions. Points, rewards, discounts and offers never apply to Schedule 4 (prescription-only) treatments.
  • Prescription medicine names are kept off public, patient-facing promotional surfaces.
  • Consent wording is kept. Consent forms are signed digitally, and the exact wording the patient agreed to is stored with each signature and versioned. An under-18 can't complete consent alone; it needs a parent or guardian.
  • Treatment records keep their history. Changes are amended or struck out, never deleted.
  • Patient data is hosted in Sydney, Australia, and card numbers are handled by Stripe, never stored by us.

None of this makes a clinic compliant by itself, and your clinic still owns what it publishes. It means the system is built around the rules and helps your team follow them, instead of leaving it to memory on a busy day.

Move once, into one system, and set it up around the rules from the first morning. That is what makes a switch worth the effort.

What does a calm switch day look like?

A switch day is the single date when the new system becomes the only source of truth. From that morning, every booking, payment and note goes into the new system and nowhere else.

Here is the order I'd follow:

  1. Pick a quiet day. Not the week before Christmas, and not the day of a launch event.
  2. Take the final export after the last appointment the day before. Anything entered in the old system after the export won't be in the file.
  3. Import, then read the preview and the skipped-rows report. Fix what needs fixing before anything is saved.
  4. Check the next two weeks of the diary against the old one, booking by booking.
  5. Check your consent forms are ready for the first patients of the day.
  6. Change your booking links on your website, Instagram and Google Business Profile.
  7. Send the re-save your card link, members first.
  8. Stop using the old diary. Keep a login for looking things up, but book nothing in it.

Some clinics want to run both systems side by side for a while. I'd keep that as short as you can, or skip it. Two diaries means every booking is typed twice, by hand, and sooner or later one gets missed. One switch day is safer than a long overlap.

What should you do with the old system and the export files?

Don't cancel the old system the moment you switch. Download everything you might need first, and check you can still get to past records.

Treatment records and consent forms have their own keeping rules. How long a clinic should keep client records covers what to hold onto and for how long.

Then deal with the export files themselves. A spreadsheet of every patient's name, phone and visit history, sitting in a downloads folder or an email inbox, is a privacy risk. Under the Privacy Act, Australian Privacy Principle 11 says an organisation covered by the Privacy Act must take reasonable steps to protect the personal information it holds, and must destroy or de-identify it in certain circumstances. Once the import is checked and you no longer need the files, delete them from laptops, inboxes and shared drives.

How does Clinic App make the switch easy?

Clinic App is one system for cosmetic and skin clinics: bookings, front desk checkout and payments, memberships, packages, gift vouchers, rewards, consent, treatment records and reports, with one record per patient. It replaces Fresha or Timely, so you move once, into one place, and the switch is something we do with you, not something we hand you a guide for.

  • One move, not several. We import your client list, visit history, gift vouchers and package balances from your old system's exports and reports (CSV or Excel), plus active memberships from Fresha's membership report. Timely has no memberships export, so Timely members are set up from your own records.
  • You see a preview before anything is saved, then a report of any rows that were skipped and why.
  • Built around AHPRA and TGA rules from day one. Points, rewards, discounts and offers never apply to prescription-only treatments, consent wording is stored with each signature, and records are amended, never deleted. More in the section above.
  • Patients get a re-save your card link, because saved cards don't come out of Fresha or Timely exports. Card payments run through Stripe, and we never store card numbers.
  • Patient data is hosted in Sydney, Australia.
  • We set it up to match how you already run before switch day. How Clinic App learns how your clinic runs explains that part.
  • Your team trains on one system, through its own training hub with short courses built around your set-up. More in how to train your clinic team on new software.
  • I onboard you in person. Flat fees, with no setup fee, no per-seat fee and no lock-in.

Frequently asked questions

Can I move my clients from Fresha to new clinic software?

Yes. Fresha lets you export your client list as an Excel or CSV file from the Clients list, and a new system can import that file. Saved card details are not included, because Fresha says they can't be exported or transferred.

Will my patients have to re-enter their card details?

Yes, if they want a card on file with the new system. Fresha says saved card details can't be exported, and Timely's list of exportable data doesn't include them, so each patient saves their card again. Clinic App sends patients a link to do this, and it makes sense to start with members whose billing date is soonest.

Do memberships, gift vouchers and packages move across?

Gift vouchers and package balances come across from your old system's exports, with a preview before anything is saved and a report of any skipped rows. Active memberships come from Fresha's membership report. Timely has no memberships export, so Timely members are set up from your own records. Either way, check each member's next billing date and make sure they have a card saved in the new system.

How long does it take to switch clinic software?

It depends mostly on how fast you can get your exports and make set-up decisions, not on the import itself. Clinic App has a 30-Day Launch Guarantee: if we are not ready to launch within 30 days of having what we need from your team, the next month is on us.

Does switching software help with AHPRA and TGA rules?

It can, because switch day is when your rewards, offers, consent forms and records get set up from scratch. In Clinic App, points, rewards, discounts and offers never apply to Schedule 4 treatments, the exact consent wording is stored with each signature, and treatment records are amended or struck out, never deleted. Your clinic is still responsible for its own advertising.
